Our client is looking for an Assurance and Vetting Administrator to provide administrative support to their Assurance, Vetting and HSEQ teams.
 
THE SUCCESSFUL APPLICANT
  • Strong analytical, problem solving, time management, project management and decision-making skills.
  • Proven background in administration 
  • A high level of competency with all MS office packages, especially Excel and PowerPoint.
  • Excellent attention to detail and work ethic.
  • Strong teamwork, interpersonal and communication skills.
 
JOB DESCRIPTION
 
  • Schedule vetting inspections in line with company and customer requirements, communicating key information to stakeholders.
  • Maintaining Vetting Inspection schedules in Excel and Inspection System.
  • Oversee updating OCIMF crew matrix and HVPQ with collaboration with vessels.
  • Complete vetting/ screening questionnaires as required.
  • Upload approved responses to OCIMF SIRE website and Inspection System.
  • Coordinating the arrangement of audit schedules and agendas as required.
  • Assist in the management and participation of TMSA submissions and reviews.
  • Assist in driving the Assurance strategy, projects and roadmap.
  • Act as a Member of the Vetting Focus Stakeholder Group.
  • Provide support on management of Marine Assurance activities including navigation, security, cargo and ballast operations.
  • Undertake detailed data input and analysis.
  • Generate trending reports and presentation material for Management Review.
  • Ensure timely management and handling of invoices.
  • Provide administrative support for internal and external meetings.
  • Coordinating project administration as required.
  • Providing administrative support for Management of Change; Legislation updates and HSEQ campaigns, and project.
  • Support and provide cover for HSEQ Coordinators as directed by Line Manager.
  • Sit as a member of ERT in the capacity of Documentation team member. Set up ERT room equipment; maintain ERT Activity Log and any other relevant record keeping.
  • Work collaboratively with Fleet Teams, vessels and external parties.
