We are currently looking for a Marine Personnel Coordinator for our client in Glasgow.  This position would suit a qualified deck cadet that is looking to make the move into a shore-based position.  Alternatively, if you have experience in Marine HR admin this would be an excellent opportunity to develop your career within a strong organisation.
  • Ability to respond positively to customers in an effective manner.

  • Proficient in Microsoft Office applications.
  • Familiar with industry regulations, for example, STCW convention and flag state regulations.
  • Treat safety and environmental compliance as a top priority.
  • Interact with vessel fleets/teams in matters of day to day Marine HR operations.
  • Checking of officer documentation prior to appointment to a vessel and completion of pre-joining checklist.
  • Apply for and monitor applications for licences/endorsements made to relevant flag authorities; track same.
  • Issue visa letters and make visa applications where required.
  • Co-ordinating seafarer joining arrangements with the vessel, agent and ship team.
  • Follow up with joining personnel, make travel/flight arrangements and issue relevant documentation for joining vessel including service terms & conditions, appendix A & D and joining messages thence confirming receipt of details with joining personnel.
  • Maintaining accurate personnel electronic records of seafarers from region in current employment within assigned team. Ensure documents and photographs of seafarers are scanned into Adonis and old scanned documents deleted.
  • Ensuring completed seafarers required documentation is received from officers (excluding Philippine & Indian Nationals) before they off-sign. Proactive follow up of same where an officer needs to revalidate documentation to ensure renewal/revalidation is carried out as early as possible in the seafarers leave period.
  • Review and approval of regional seafarer’s ship joining & leaving expenses.
  • Review and approval of regional seafarer’s joining travel invoices (ATPI).
  • Providing backup - including vacation coverage for team.
  • Providing after office hours coverage as appropriate.
