JOB DESCRIPTION
  • Treat safety and environmental compliance as a top priority.
  • Conducting administration of all Officer Scope/Appraisal reports. Review and follow-up with junior officers including closing out Crew Performance Reports/CPD Portfolios with vessel managers and where appropriate in accordance with DocMap/SCOPE procedures. Ensure that every officer receives a telephone call or face to face discussion about their previous voyage, performance and career development. Interact with regional Marine HR manager in respect of senior officers and appropriate RSC in respect of ratings.
  • Interacting closely with local Marine HR Manager for personnel scheduling. Owner of crew changes. Nominate ports for reliefs. Act as the liaison/contact person for all officers in matters of scheduling re appointments to and from vessels.
  • Ensure relevant details are passed to regional service centres in order that they can carry out logistics administration for seafarers. Follow up with service centre on same, especially in the case of changing vessel prospects.
  • Act as the team Marine HR partner for sea staff. Forge relationships with sea staff and be the ‘go to’ contact for all employee relation matters.
  • Updating accurately activities in Adonis. Ensure current crew lists are available for all team vessels with Adonis.
  • Arranging for support, maintenance and repatriation for crew members who have landed ashore for any reason.
  • Providing appropriate personnel information to the accounts department in respect of manning / payroll related matters.
  • Arrange and ensure relevant parties are made aware of new hire orientation procedures, current sea staff visa requirements in local office.
  • Acknowledge resignation letters and conduct exit interviews to establish the reason for leaving.
  • Apply the dismissal or disciplinary procedure when required.
  • Manage the process when seafarers announce that they are retiring.
  • Administer the company service awards program within the team. This will include providing necessary anniversary milestone and promotion data to corporate communications for inclusion in company publications.
  • Assist with preparation of team manning and travel budgets as required.
  • Participate and provide input to monthly and annual crew and travel analysis/OPEX reports as determined by Fleet Director.
  • Participate in the emergency response team, as necessary.
  • Contact for ‘After Office Hours’ for their respective teams, as necessary.
