Our client, an innovative climate tech start-up based in Glasgow, is looking for an Office Manager to join them on a permanent basis.
The Office Manager will ensure the smooth running of daily operations, while also providing critical financial and administrative support. You will support various operational aspects, including office administration, vendor management, office supplies, and employee services, along with key financial responsibilities like managing invoices, budgets, and financial reporting.
THE SUCCESSFUL APPLICANT

2-4 years in office management, administrative support, or similar roles. Experience in a start-up environment is preferred.

Familiarity with basic financial principles such as budgeting, invoicing, and expense tracking. Experience with accounting software (e.g., QuickBooks, Xero) is a plus.

Highly organized with the ability to manage multiple tasks simultaneously and prioritize effectively.

Excellent verbal and written communication skills.

Proficient in Microsoft Office Suite and common office technology.

JOB DESCRIPTION

Manage day-to-day office operations, including scheduling meetings, coordinating office space, and ensuring a clean and organized environment.

Coordinate office events, team-building activities, and celebrations.

Liaise with service providers, including cleaners, building maintenance, and security.

Process and track office invoices, ensuring timely payments to vendors.

Assist with payroll and employee expense administration.

Serve as the point of contact for general HR-related queries (e.g., benefits, leave requests, workplace policies).

Coordinate with HR on recruitment efforts, including scheduling interviews, and onboarding.

Promote a positive office culture, ensuring employees have the necessary support.

Support the company’s sustainability initiatives within the office.

Assist in coordinating initiatives like carbon offset programs or eco-friendly office supplies.

Attend board meetings to take minutes as required.

Monitor, manage and ensure compliance with ESG policy and Net Zero plans.
