Our global shipping client are recruiting for an Operations Assistant to join their Glasgow based team on a nine-month fixed term contract, who will provide administrative support to the Gas operations department.
 
THE SUCCESSFUL APPLICANT
  • Results, and solutions driven approach required
  • Experience in a similar role desirable
  • Strong interpersonal, verbal, and written communication skills coupled with the ability to build successful relationships with internal and external stakeholders
  • Intermediate skills with all basic Microsoft applications. (Word, Excel, Outlook)
  • Excellent administration and strong organizational skills
  • Attention to detail and high level of accuracy in all aspects of work output, in addition to the ability to handle data with confidentiality.
 
JOB DESCRIPTION
  • Assist with board materials (presentations, minutes etc), JV reporting and provide administration for project work
  • Provide support for board/conference calls, seafarer conferences and careers fairs (Cadets etc), in addition to assisting/preparing for customer visits
  • Monitor new or revised maritime legislations that could impact on gas operations, communicate legislation updates to the operations team and maintain and update the legislation register
  • Provide support to Directors and teams as require
  • Provide absence cover for executive assistant
  • Member of the public affairs team. On-call as first point of contact for incidents 24/7 every 6 weeks
  • Assist with minutes of weekly operations meeting(s)
  • Provide administration for ERT interventions
  • Superuser for employee expenses. Introduce new staff members to AMEX and provide understanding of expectations for expense management
  • Management team administrator and meeting facilitator
  • Member of the Vessel Social Committee initiative
  • Organise and maintain the SharePoint site
  • Create labels and customs paperwork for all corporate shipments and process subsequent invoices
  • Send, monitor, and complete confirmation form for the weekly emails for vessels
  • Prepare and do the ‘Welcome Ashore’ interviews for the Magazine every quarter
  • Holiday cover: prepare and package fleet mail to all vessels completing all necessary customs paperwork   and tracking details
  • Act as the administrator for the Employee Suggestion Program and assist with the vessel’s Employee Suggestion Program
  • Provide reception cover every Monday and ad-hoc when required; facilities management, sign-in procedure, phone enquiries etc
